Special Events Internship
Department: Development
Reports to: Director of Special Events
Status: Unpaid internship
Summary:
The Special Events Intern will report to the Director of Special Events and work closely with the
Manager of Gifts and Records. This is a professional internship designed to quickly integrate the
intern as a member of the Special Events team and provide hands-on experience in all administrative
and creative aspects of special events. The intern is expected to perform in a fast-paced, demanding
events environment within the development department.
Each year, the Special Events Office produces a major fundraiser- The Summer in the City Gala, five
smaller fundraising events revolving around specific performances, as well as all Corporate Sponsorship,
Endowment, Annual Fund/ Membership and cultivation events.
The Special Events Intern will assist with developing and executing the above events to gain familiarity
with the process, goals, and methods to achieve goals.
Essential Functions:
- Assist with development of event rationale and planning
- Provide administrative support for event logistics and mailings including tracking RSVP’s, development
of print materials and updating timelines to meet special event objectives.
- Work with ticketing database to track events
- Support event logistics with assembly and distribution of event materials, delivering supplies as
needed, and other activities as required to ensure the event runs smoothly
- Compile event results and work on follow-up outreach (via phone, letter, email, fax, etc) to guests
and event sponsors.
- Attend staff and event meetings as availability permits
Minimum Qualifications:
- Must be outgoing, enthusiastic, motivated , proactive and responsible
- Excellent interpersonal skills. Must be a team player.
- Must have strong writing skills and computer literacy (IBM compatible software applications, MS Word, Excel)
- Excellent organizational skills and attention to detail
- Able to work independently within guidelines and ask for direction when new situations arise.
- Able to work under tight deadlines and on multiple projects simultaneously, with minimum supervision.
- Must be willing to work occasional evenings and weekends as required for events.
- Be able to commit a minimum of 15 hours per week, 25 hours preferred.
