
Festival Project Manager

Reports to: Artistic Producer
Status: Exempt
Summary:
The Festival Project Manager reports to the Artistic Producer and will be responsible for managing tasks of varying scope and complexity simultaneously and with efficiency and accuracy.
Essential Functions:
- Track all Festival-related events and programs; tracking and communicating those changes in a timely fashion
- Assist Rescos and other Festival partners in maintaining the requirements of the relationship once they have signed their Letters of Agreement.
- Handle all communications and interactions with potential and designated venues.
- Manage and serve as liaison with all city departments and agencies involved in outdoor events.
- Manage major outdoor events including but not limited to those under consideration. For such events responsibilities include: negotiating agreements with selected venues; working closely with appropriate city agencies to ensure that all permits and other arrangements are complete; coordinating and scheduling performers and other participants in each venue; working closely with volunteer coordinator; dealing efficiently with last-minute surprises.
- Manage the Festival budget.
- Facilitate communication between Festival staff and Kimmel Center staff.
- Coordinate Festival production updates and events with Managers of Festival Marketing, Development, and Finance, to assure timely and efficient exchange of information.
Education:
Bachelor’s degree in Arts Management or an Arts related field of study. Festival Management experience required, especially involving multiple venues and entities. Production experience a plus.
Knowledge/Skills/Abilities:
- Excellent organization skills and ability to manage several projects simultaneously.
- Excellent communication skills being especially attentive to timeliness and effectiveness of all communication.
- Ability to disseminate information quickly and effectively to various departments, and to ensure that responses and feedback are distributed equally quickly and effectively.
- Working knowledge of municipal government, especially as it relates to outdoor performances, permits, etc. Experience with Philadelphia agencies preferred.
- Experience with outdoor events, ideally in relationship to a Festival and managing large numbers of volunteers.
- Proficiency in Microsoft Office Suite, especially complex Excel files.
Working Conditions/Physical Demands:
Routine for office environment. The employee will be required to perform the essential functions of the job during evenings and weekends.
